The Associate Operations Director (AOD) reports directly to the division Senior Operations Director (SOD) and serves as grants administration expert and research admin operations leader for the division. The AOD provides thought partnership to the SOD, team leadership and mentorship as well as direct supervision to some of the team of research administrators who directly support the faculty and labs of the Human Biology Division at Fred Hutch. The AOD contributes to administrative decisions, process improvement initiatives and policy development for the Division. The AOD works with the SOD, Division Director and faculty executive leadership team to ensure the division s faculty are provided with excellent pre and post awards grants management, regulatory compliance and other administrative support. Responsibilities * Manage and mentor research administration staff in a full or part time remote environment, providing guidance, support and ensuring professional development * Depending on need, perform research administration duties for one or more principal investigators as primary or back up; plan for and ensure compliant and effective funding, budget and regulatory administration and general administrative support * Review and approve grant application proposals (via HutchGrants system) on behalf of the division * Hire and train junior research administrators to ensure a vibrate pipeline of talent * Advise or consult with Center leadership on changes to Center-wide policies/procedures and help create implementation plans for the Division s research administration team in response to changing systems, processes and regulatory requirements * Represent the Division on Center-wide processes and administrative committees as designated by the SOD * Partner with the SOD to develop and maintain an adaptable staffing support model for faculty * Participate in the preparation, management and monitoring of the Division’s annual budget * Assist the SOD and Division Director in managing office and lab space allocation and planning renovations. As needed, serve as the administrative contact for facilities renovations and asset management * Participate in division-wide planning, long-range financial planning, major equipment acquisitions, and new initiatives in conjunction with the SOD and Division Director * Participate in the development of strategic, operational and business plans associated with the division Qualifications * Bachelor s degree or equivalent is required * A minimum of seven years of progressively responsible administrative management experience, including grant and contract budgeting; supervision; and planning in a health care, research, biotech or governmental agency environment is required * Experience with the NIH grant system is required as is multi-project grant experience with a wide variety of funding sources * Ability to analyze and interpret regulations, determine impact, and manage change * Knowledge and high-level experience in research administration, strategic planning and business practices are necessary * The ability to manage a diverse team, think creatively and globally, project future needs, and be attuned to the day-to-day division operations is critical to success in this position * Excellent interpersonal and communication skills, both verbal and written, are essential to this position * The successful candidate will be responsive to the needs of the Division and Center mission, and promote scientific excellence A statement describing your commitment and contributions toward greater diversity, equity, inclusion, and anti-racism in your career or that will be made through work at Fred Hutch is requested of all finalists.
